Using Room and Equipment Calendars in Outlook

Instructions on how to use Outlook to reserve existing room or equipment calendars.

  1. Open Outlook.
  2. Select the Calendar icon at the bottom of the screen.

  3. Open a New Appointment.
    ''

  4. Enter the Subject but do not enter a location.
  5. Select Invite Attendees.

  6. Select To.
    ''

  7. Select All Rooms and Equipment from the Address Book drop-down menu.
  8. Search for the Room or Equipment Calendar you wish to schedule.
  9. Select Required.
  10. Select Ok.
    NOTE: For Room Calendars, this will add the calendar to both the To section as well as the Location section.

  11. Enter any Additional Information necessary.
  12. Select Send.

  13. You will receive an email notifying you if/when the room or equipment is approved.
