Meeting Minutes
January 16, 2006
The regular meeting of the Van Buren County 4-H Leaders Association was called to order by President Denise Massey at 7:05 pm with all officers, except Secretary Mary Darling, present and 9 clubs represented.
The treasurers report was presented and accepted with a total in all accounts of $11,431.51.
The minutes of the November 21, 2005 meeting were read by Jerri Pursley. The report was accepted with one correction: the visitors expected at the 2006 fair are from North and South Carolina.
Bills/Correspondence: none
Club Sharing: Town and Country- held a candle fundraiser with good results. They also adopted a family for Christmas. Hartford Trailblazers- held annual Christmas party at Galatis, had a gift exchange, filled 4 baskets, and collected canned goods. Dream Chasers- went Christmas caroling 3 places. Young Explorers- went caroling and built a snowman, held their annual clothes swap. West Valley Livestock- held Christmas party, went caroling at Pats Adult Foster Care & presented gifts to the residents, collected canned goods.

4-H Agent/County Extension Director Report: Jill is back! Office hours are 8-4:30, no Wednesday evenings. Janice will contact clubs that still have bracelets out. She discussed the Junior Citizen Planner Program. Clubs with over $2500 at any time during the year must provide monthly bank statements, treasurers report and meeting minutes.
Old Business: Fundraisers- pickles need to go, there are some in the Extension Office and Jerri Pursley has 3 boxes. Candy is to be picked up tonight, 52 bars per box, $1 per bar, money is due at March Leaders Meeting, 1 download coupon is given to each member who sells 1 box of candy (13 or older or parent). Unincorporation- paperwork is in process. CWF- interviews were last Thursday, there were 7 applicants and 6 spots. The 7th person will be an alternate and Janice stated that the person would still be eligible to go next year. Capital Experience- no applicants yet. Fashion Revue- first workshop is Feb. 28 on hair, nails, makeup, and maybe closet organization. RSVP by Feb. 21. Parliamentary Procedure/Officer Training- 9 attended on Jan. 7 and 21 attended on Jan. 10. SW Leadermeet- is in March at Kellogg Biological Station, details in your leader packet. 4-H Fee- survey has been emailed to some and hard copies are available for families and volunteers. Deadline is Jan. 31, 2006.
New Business: Excellent Adventure is April 15. Need adults and teens to teach sessions. A motion was made by Venus Ignacek, seconded by Margie Godines to raise the fee from $5 to $10. Motion carried. Fairbook cover contest- information in the leader packet, due by March 6 Fairboard meeting. Fair Theme- will be voted on at the Feb. meeting, bring ideas. Leader Status/Club Status- Janice provided a list of leaders and/or clubs missing paperwork. Let Janice know if any of these people are not leading this year. Performing Arts- a volunteer is needed to take over coordinating the Talent Show. By-Laws- need to be updated because of unincorporation. Will review bylaws at Feb. meeting. Janice presented an old motion that had never been acted upon, stating that 2 officers signatures are needed to make any withdrawal. Motion made by Jerri Pursley, seconded by Melva DeVries to have all 4 officers sign signature cards for the accounts, 2 of the 4 signatures are required for all withdrawals from Van Buren County 4-H Leaders Association savings, CDs, checking and any other bank accounts. Motion carried. Moyle Memorial CD- was discussed with regard to the interest use only stipulation. Janice will check with Nancy Whaley for clarification. Leader Training Scholarship Applications- presented for Melva Thayer ($32 Horse Galaxy), Melva DeVries ($32 Horse Galaxy), Samantha Sheppard ($55 Shooting Sports, Teen Leader), Herb Sheppard ($55 Shooting Sports) and Cindy Sheppard ($55 Shooting Sports). Motion to pay the maximum ($45) per scholarship by Terri Karasch, second by Melva DeVries. Motion denied. Discussion followed regarding the budget. Motion to pay $25 per scholarship by Jerri Pursley, second by Margie Godines, motion carried.
Fair Board Update: Superintendents and assistants contracts need to be signed & returned ASAP. Denise Massey needs to speak to Norm Popp regarding the placement of the tent for the dog show. Margie reported per MDA that any animals showing signs of illness during vet checks, even slight, must be sent home. Also, all injury incidents need to be reported and documented. Ad and trophy sponsorships are continuing.
Announcements: New Leader Orientation is Thurs, Jan. 19 at 6:30 pm. Contact Denise Massey if your members are interested in an overnight scrap. Tack Swap is Feb. 25 at Paw Paw Middle School, 10:00-2:00; booths available for $10 (4-H) or $15 (others).
Next meeting is Monday, Feb. 20, 2006 at 7:00 pm at the Van Buren Conference Center.
Adjournment: Motion by Margie Godines, second by Jerri Pursley to adjourn the meeting. Meeting adjourned at 8:45 pm.
