What We’re Looking For:  

FoodCorps seeks a skilled project manager, relationship builder, exceptional communicator, and experienced customer relations professional to manage the external-facing activities of the CEO and ensure a meaningful, authentic and enriching partnership experience for current donors, prospects, and board leaders.  Reporting to the VP of Growth and Development and working closely with the CEO and Board of Directors, the Manager plays a central role in executive-level donor activity and board engagement. With utmost diplomacy and sound judgment, the Manager tracks, prioritizes, and activates the CEO on requests by fundraising staff.  Working closely with organizational leadership, the Manager provides primary support to the Board of Directors, including scheduling and preparing for four board meetings each year, and coordinating governance functions and the activities of board committees. This is a full-time position, located within FoodCorps’ New York City office, requiring occasional travel (5%).

Primary Responsibilities:

Fundraising Management:

  • In collaboration with Moves Managers and with guidance from the VP, manages fundraising efforts for top level donors and prospects who are in the CEO’s portfolio.  Working closely with fundraisers, prepares CEO for funder meetings, captures notes and facilitates next steps and timely and strategic follow-up.
  • Fields and prioritizes requests for CEO activation from the fundraising staff to maximize the impact to time ratio
    Ensures daily, weekly, monthly, and quarterly priorities of the fundraising team are met.
  • Manages travel planning.
  • Maintains the CEO’s fundraising calendar, and secures and schedules high-value meetings.  
  • Recognizes and anticipates conflicts and proactively adjusts the CEO’s calendar to meet priority demands.
  • Monitors and manages the heavy traffic of external communications into and out of the CEO’s office.  As directed by the CEO, corresponds with key stakeholders in a clear, precise, and compelling way and in a manner that reflects the CEO’s vision and voice.
  • Monitors programmatic updates and external media to draft targeted communications to top-level donors on relevant news and other activities that involve donors’ particular areas of interest, or which might impact fundraising efforts with particular prospects, donors, or interest groups.
  • Conceptualizes, researches, “ghost-writes,” and/or edits various communications from “the desk of the CEO” for audiences across the full range of communications mediums.
  • Coordinates and prepares CEO for events and social functions, ensuring that the CEO consistently presents in a way that reflects FoodCorps’ standard of excellence.  Assist with the drafting of materials and presentations.
  • Provides support to the CEO for other key external relationships, including members of the media, elected officials, and VIPs.
  • Tracks and manages the flow of new connections made by the CEO with appropriate members of the Growth and Development team.

Board Management:

  • Schedules and manages the comprehensive calendar of board and committee meetings.  Works with staff across departments to prepare staff and Board members for all meetings. Handles logistics of board meetings including planning for physical meeting space and anticipating technology needs.
  • Holds close relationships with members of the Board of Directors, taking a proactive and strategic approach to staffing board operations and individual board work plans.  Ensures accurate tracking of board relationships in Salesforce and Box.
  • Maintains an active board recruitment pipeline.  Oversees board orientation, continuing education and enrichment opportunities.
  • Creates, edits and distributes all communications to the board, including meeting agendas, board packets and organizational updates.
  • Records notes for board meetings and compiles and disseminates accurate meeting minutes. Maintains archival record of board activity and governance and coordinates electronic votes. Initiates, tracks and oversees execution of follow-up for board decisions and projects.
  • Provides meaningful stewardship. Identifies opportunities for FoodCorps to celebrate board member contributions and achievements.

Skills of the Ideal Candidate:

  • 3-5 years experience in fundraising, board management, or related customer service field.
  • Excellent written and verbal communication skills, especially as a ghostwriter, with the ability to quickly pick up and communicate in the style and voice of others.
  • Ability to use intuition and sound judgement to anticipate CEO, board member and donor needs and to to handle a wide variety of activities and confidential matters with discretion.  
  • Capable of dealing with a variety of personalities in situations requiring diplomacy, poise and firmness. Enjoy working behind the scenes, knowing that your ability to befriend the executive assistants of donors and manage up to the CEO and board will be invaluable assets to the organization.  
  • Stellar talent for project management. Strength in multi-tasking, goal-setting, and prioritization.
  • Ability to plan and run meetings seamlessly.
  • Strong, capable relationship builder, including by phone and email, using multiple ways of communication according to partner preference and geography.
  • Resourceful and flexible. Is highly motivated and has the ability to work as a team player and also to work independently with minimum supervision.
  • Ability to sustain strong relationships, including the ability to effectively partner with high-level outside stakeholders and to collaborate with staff at all levels.
  • High degree of comfort in a computer-based, email-intensive environment, and proficiency in current CRM software (e.g. Salesforce or Raiser’s Edge).
  • Possess an intellectual curiosity, understanding and enthusiasm for the work of FoodCorps
