Position Summary


Provides high-level administrative support for the Department of Community Sustainability (CSUS) in the College of Agriculture and Natural Resources (CANR). This position will serve as support to the department chairperson and will also serve as the lead HR position in the unit. Responsibilities vary in scope and include, but are not limited to: coordination of travel, meeting coordination, assisting with the reappointment, promotion, and tenure (RPT) process and the faculty annual review process, handling purchasing and reimbursement requests, and managing all HR functions and transactions for the unit. Completes work independently to facilitate the smooth functioning of business operations for the department while ensuring compliance with university policies and procedures.


  • Arranges travel and itineraries for department visitors and faculty position candidates.
  • Scheduling and meeting coordination – administrative support to the department chairperson.
  • Assists with the reappointment, promotion, and tenure (RPT) process.
  • Manages human resources functions for the department, including submitting all HR transactions including, but not limited to: all position postings, faculty appointments/reappointments, change of status forms, cost distributions, temp/on-call hires, student hires. Will also serve as staffing coordinator on job postings to complete hiring processes and assist search/interview committees as needed.
  • Manages the visa process for all international visitors/hires.
  • I-9 verification for the department.
  • Manages hourly payroll/time sheets for the department.
  • Coordinate scheduling for conference room and special events in building.
  • Manages purchasing needs for the department and reimbursements as needed.
  • Point person for keys and for building access.
  • Other miscellaneous duties as assigned.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in a professional office setting, performing secretarial and administrative tasks, including experience with scheduling meetings, data entry, payroll processing, office machines, email and internet usage or in performing tasks related to the area of employment; experience in word processing, spreadsheet, mail merge, database, calendaring, publishing, and/or presentation software; or an equivalent combination of education and experience.

Desired Qualifications

Experienced user of the MSU EBS systems – both KFS and SAP. Broad knowledge base of the various MSU Human Resources actions, and the ability to determine what action is required based on the situation. Experience with international visa process. The ideal candidate will possess a high level of professional judgment, independent decision making, excellent communication skills and customer service, strong organizational abilities, and a positive attitude.
