Event Marketing and Registration Recommended Language for Overnight MSU Extension Events in 2022

The following is current as of April 6, 2022, in accordance with Michigan State University guidance.    

Michigan State University (MSU) Extension and Michigan 4-H are committed to the safety and health of all youth and adults during the ongoing COVID-19 pandemic. As a result, MSU Extension requires language in registration materials to ensure that all participants attending youth or 4-H overnight in-person events understand and are notified of MSU Extension best practices and aware of strategies they can employ to protect against the spread of COVID-19. It is also recommended to include this language in adult registration materials, as well as marketing, confirmation and other messages, when possible.

Recommended Marketing Language

It is recommended that this language be listed on marketing materials, websites, or social media to promote in-person overnight events hosted by MSU Extension.

COVID-19 UPDATE: All participants should read and review the MSU Extension Overnight Event Participant Best Practices before participating in the event. These practices state that participants should wash and sanitize hands frequently, self-monitor for symptoms both during and at the event, and return home immediately at their own expense if symptomatic. It also acknowledges the risk for potential exposure to COVID-19 as a result of attendance at the event and that failure to comply with this agreement will result in an immediate dismissal at the participant’s own expense.

Required Registration Page Language

It is required that this language be listed on participant registration page (regardless of method used to register individuals) for in-person overnight youth events hosted by MSU Extension. Adult events may also wish to consider adding this to their registration pages. For events using the events management system to collect registrations, the required overnight event registration language can be added to a registration page by using the standard COVID-4-H Overnight Accommodations fieldset prior to the request for activation. Event services staff will review all 4-H/youth overnight events to ensure the require language is included before the event is activated.

As a result, the following COVID-19 best practices are recommended for overnight MSU Extension events in 2022. New directives or guidelines mandated or given by federal, state, and/or local governments, MSU and hosting organizations may impact these practices prior to or during the event. 

All individuals, including youth, volunteers, or other supportive roles staying overnight at an MSU Extension event in 2022, should read and review these best practices.

Communicating with Registered Participants Before and During Overnight Events

The following language can be used when communicating with registered participants in advance of and during the event. This may be shared via email, on social media and other places as appropriate.

We are looking forward to seeing everyone at NAME OF EVENT. MSU Extension and Michigan 4-H are committed to the safety and health of participants at the 2022 event. Help do your part to prevent the spread of COVID-19 by following these Centers for Disease Control and Prevention recommendations before and during the event:

  • Stay social distanced, when possible
  • Avoid crowds and poorly ventilated spaces
  • Wash your hands often
  • Cover coughs and sneezes
  • Monitor your health and stay home if you feel sick
